Booking Campus Spaces

To book a room, please submit an Event Proposal through the Student Group Form at least 10 working days in advance. Make sure you have a valid risk assessment for your event.

If your event has more than 100 attendees, please have a chat with us first. 




Here’s How It Works:

  1. Choose a space: All spaces on campus are available for you to book! Below, we have put together a small guide to help you choose the right venue for you based on your activities and your expected number of attendees. We've also included a map of the University's campus so you get a better idea of the location of each building. We highly encourage you to check out the space before submitting your request so you know exactly what the room looks like. We'll ask you for a back-up location, just in case your first choice is not available, so make sure your pick out two possible spaces.

  2. Complete your risk assessment: After choosing your activities and your space, you'll have a better idea of what kind of hazards may be present in your event. If your annual risk assessment doesn't cover your event, you'll need to write a new one and have it signed by us to make it valid. Please note, without a valid risk assessment, we won't be able to process your request. 

  3. Fill out the form: Tell us what room you need (where possible, please write down the specific room you wish e.g. DB.311), what activities you want to host, what your event is about, when you’re planning to host your event, and at what time. Don’t forget to attach your valid risk assessment to your request!

  4. Get an update on your request: Our team will notify you as soon as we have an update from the University. Once everything is booked, we'll send you a confirmation email with the terms of your booking.
    Sometimes, the rooms you've requested may not be available - we'll reach out to you to ask you to change locations or move the date for your event.

  5. Advertise!: After you receive your confirmation, you can start advertising your event and confirming dates with your guest speakers (where needed). When planning your events, it is important that you submit your forms with more than enough time so you can advertise your events well in advance!


Important to know:


We will always aim for your large scale events to be successful, impactful and fun. We also need to make sure that your events are as safe as possible. Any event aimed for 100 or more attendees will be considered a large scale event, and will need more planning than normal events, as well as further attention from us.
