Whether your event is a low-key hangout session or a field trip to a big museum, your events are where you create connections and they’re your chance to bring your members together to create long-lasting memories!
Please allow at least 10 working days for event planning, to ensure every step is covered correctly.
Why host Events?
Events are more than just fun—they’re essential for:
- Engagement: Keep your members excited and involved.
- Networking: Bring people together to build connections and friendships.
- Skill Building: Workshops and talks help members grow personally and professionally.
- Generating Income: Use ticket sales to support future projects and enhance your activities.
Types of Events you could host
Not sure what to host? Here are some ideas:
- Socials: Movie nights, trivia quizzes, themed parties, arts & crafts evenings, etc.
- Workshops: Skill-based sessions, from creative arts to career-building.
- Talks & Panels: Invite guest speakers to share insights and experiences.
- Collaborative Events: Partner with other societies & host fun activities!
- Fundraisers: Bake sales, gaming tournaments, raffles, etc.
- Competitions: Sports, e-sports, or talent shows to bring out the competitive spirit.
Step to plan the perfect Event
- Come up with an idea: Decide what the goal of your event will be; celebrate, hang-out, connect, network, or a larger project.
- Choose the right venue: Use campus spaces or community locations; understanding where you want to host your event will help you with the next steps.
- Write your Risk Assessment: If you’re hosting a large-scale event or if your event is not covered by your Annual Risk Assessment, you will need to create a new one that’s dedicated to this event, and have it approved by us. If you’d like support writing this, please get in touch!
- Submit your Room Booking Request: Outline all the details about your event and attach your valid Risk Assessment. Please remember to submit this with at least ten working days of anticipation; the more time you allow us to process this, the more time you’ll have to properly advertise and prepare for your event.
- Create a budget: Plan for costs like decorations, refreshments, and guest fees. If you would like to develop this together, please get in touch!
- Promote your event: Use the Events page on the RSU website, set up tickets on Native, or simply post about it on Instagram and tag us!
- Gather Feedback: After the event, ask attendees what they loved and what can be improved.

Organizing events can feel overwhelming, but don’t worry, we’re here to support you every step of the way! The more you involve us in the planning of your events, the more we’ll be able to help and guide you towards a successful event. We can:
- Help you brainstorm ideas and figure out what would work best for your Society.
- Support you with venue bookings, logistics, and budgeting.
- Provide resources like templates, checklists, etc.
- Provide tailored 1-2-1 sessions.
